Smart Folder (Definition)

Every folder in a Zoot database can be given special abilities in order to automate information management tasks. A folder given such abilities is called a Smart Folder. Smart Folders operate based on rules and actions which tell the folder how to behave.

Rules tell a folder which items in your database are to be assigned to a folder. A rule is essentially a query attached to a folder, but in the case of a rule, the query is always running, watching for newly created or modified items that match the rule/query criteria. When a matching item is discovered, the item is assigned to the folder, and this in turn triggers any actions attached to the folder.

Actions to tell a folder what to do with any items assigned to a folder. As soon as an item is assigned to a folder with actions attached to it, the actions are performed on the item. Actions can change item properties, assign items to other folders in your database, copy or move items to other databases, and much more.

You can greatly enhance database functionality by creating Smart Folders to automate tasks. All of the commands you need to design Smart Folders or to modify existing Smart Folders are accessed via the Smart button on the toolbar. Click the Smart button and Zoot displays a pop-up menu with all of the commands you need.
