How to Create a Recurring Item
Top  Previous  Next

You can make any item a recurring item, but typically recurrence relates to Task and Appointment items. Suppose you have a task you must complete every Wednesday at 3:00pm. You could create a new Task item each week to remind yourself, but you'll save a lot of time if you just create a single recurring Task item. To create a recurring item, you simply establish a recurrence pattern (every Wednesday at 3:00pm, for instance).

Recurring items come in two flavors:

·Regenerating
·Series

If a recurring item is of the regenerating flavor, you must mark the item complete or delete the item in order for Zoot to create a new one to replace it. If the recurring item is of the series flavor, Zoot creates a series of items to reflect the recurrence pattern. The type of recurrence you choose to use is a matter of personal preference.

To create a recurring item, follow these steps:

1. Create a new item or locate an existing item you want to recur. On the Edit Toolbar located just above the Item Editor, click the Set Recurrence button. Zoot opens the Recurrence Dialog.

2. Enter a Start and End time if necessary.

3. Select a Recurrence Pattern using the lists and menus provided. If you want to create a regenerating recurrence type, check the box provided.

4. Enter a Start and End date for the recurrence pattern. This selection determines the length of time the recurrence pattern remains in effect. For instance, your recurrence pattern might correspond to the beginning and end of a school semester.

Click the OK button and Zoot creates your recurring item(s). If you've created a regenerating item, Zoot does not create a series of items; a new item will be generated when you mark the existing item complete or when you delete it. If you create a recurrence series, Zoot creates a series of items to match the recurrence pattern.

Notes:

·Before setting a recurring series for an item, make sure you've set all of the properties you want the series to inherit. For instance, if you want the series to have a reminder associated, set a reminder relative to the <Start Date>, <End Date> or <Due Date> first, then create the recurring series. This step is unnecessary for regenerating items.

·To view all of the recurring items in a series, choose Query | Quick Folder | Recurring Items from Zoot's main menu.

·To end a recurrence pattern, open the Recurrence Dialog and click the End Recurrence button located at the bottom.
