How to Add a Folder Column

Adding a folder column to a view lets you assign items to that folder with a single click. A folder column can be configured 3 ways:
 
·Simple Yes/No  
·Single-pick  
·Multi-pick  


Any folder can be added to a view as a simple Yes/No column. In this case the folder column displays Yes or No to indicate whether an item is currently assigned to the folder. Many of your databases include a view with a Hot column. This is an example of a simple Yes/No folder column. Clicking on the Hot column Assigns an item to the Hot List folder.

A Single-pick or Multi-pick folder column requires a parent folder with one or more child folders. You add the parent folder to the view as a column and the child folders are displayed as values in the column.

Examine the following parent/child folder hierarchy:

Country  
·France  
·Germany  
·Holland  
·Britain  

Here Country is the parent folder. If you add Country to a view as a column, clicking on the column would produce a drop-down list showing the child folders France, Germany, Holland and Britain. This type of folder column lets you assign items to any one of the child folders with a single mouse click.


Single-pick vs. Multi-pick
If the folder column is set up as a Single-pick type, you may assign items to only one of the child folders. In this case the child folders are mutually exclusive; if you assign an item to one child folder, any assignment to the other child folders will be cleared. If the folder column is set up as a Multi-pick type, you may assign items to as many of the child folders as you wish.


To add a folder to a view as a column, use one of the following methods:

·The Drag and drop method  
·The Columns Dialog method  
·The New Folder Column method  


The Drag and Drop Method
Simply drag a folder from the Folder Tree and drop it onto the Column Headings Bar. Zoot displays the Add Folder Column Dialog. Here you can give the column a name and choose the type of folder column (simple, single-pick or multi-pick).


The Columns Dialog Method
Click the Smart button and choose Columns from the pop-up menu. Zoot displays the Columns Dialog. Click the Add button and choose Folder Fields from the pop-up menu. Zoot displays a pop-up Folder Tree Dialog so that you can select a folder.


The New Folder Column Method
This command lets you create new folder and add it to the active view in one step. Right-click on the Column Headings Bar and choose New Folder Column from the pop-up menu. Enter a name for the new folder/column and choose a type (simple, single-pick or multi-pick). Zoot creates a new folder in the Folder Tree and adds the folder to the view as a column.


Notes:

·To locate the folder that corresponds to a folder column, right-click the column on the Column Headings Bar and choose Show Column Folder from the pop-up menu. If this menu command is disabled, then the column you clicked on is not a folder column.  
 
·For single-pick and multi-pick folder columns, you can create new child folders directly in the column. Click once on the column to drop down the list of child folders, then type in the name of a new folder and press Enter. Zoot creates the folder and adds it to the list of child folders.  
 
·To jump to a folder listed in the drop down list of child folders, right-click on the folder you want to view and Zoot will display it in the Folder Tree and load its contents into the Item Grid.  
 
·To assign folders using only the keyboard, press F2 to enter in-place editing mode, then press the Tab key to move to the folder column you wish to work with. To assign/clear a folder, start typing the name of the folder and Zoot will locate it. Press the Enter key to assign/clear the folder.
