Filtered Views

A filter can be an important component of a customized view because it can reduce the number of items in a folder to just a focused subset of items without actually removing any items from the folder.

For instance, you can create a customized view called Review Status and use this view to help you quickly review and update the <Status> property of your items. This view would probably include the <Status> property as a column and also make use of a filter to block out any items whose <Status> property has been set to Complete (indicating that the task associated with the item has been completed).

To apply a filter to a view, follow these steps:

1. Activate the view to which you want to apply a filter. To do this, click the Smart button and choose View from the pop-up menu, then select a view from the extended menu or choose New View to create a new view.

2. On the toolbar click the Smart button, then do one of the following:

·From the pop-up menu choose Filter | <Filter Name>, where <Filter Name> is the name of an existing filter displayed in the extended menu.

·From the pop-up menu choose Filter | New Filter to create a new filter from scratch.

3. In either case the filter you select (or create from scratch) will be applied to the active view and will remain attached to the view unless you remove the filter or disable it.

Notes:

·To remove a filter from a view, click the Smart button, and choose Filter from the pop-up menu, then clear the check mark next to the filter in the extended menu.

·To temporarily disable the filter instead, click the Smart button and choose Filter | Ignore Filter from the pop-up menu.
