You organize the information in a database by creating folders in the Folder Tree. The Folder Tree lists the folders in a database in a hierarchical tree. When you click on a folder in the Folder Tree, Zoot displays the items in that folder in the Item Grid.


Smart Folders
Every folder in a Zoot database can be given special abilities to automate information management tasks. A folder given special abilities is called a Smart Folder. Smart Folders operate based on rules and actions which tell the folder how to behave. You create rules to tell the folder which items in your database to collect and you create actions to tell the folder what to do with these items. You can fill a database with Smart Folders, each designed to perform some specific task.

Employing rules and actions you can create Smart Folders to:

·Work with only those items in a database that have specific properties. For example, you might design a Smart Folder to automatically collect only those items created on a certain date (today, for instance), or just those items with a subject or document which contains a certain word or phrase.  
 
·Change the properties of items. For example, a Smart Folder can change the color of items, assign items to other folders in your database, or even move items to another Zoot database.  
 
·Perform synchronization between two Zoot databases or between a Zoot database and a Microsoft Outlook folder.  

All of the commands you need to design Smart Folders or to modify existing Smart Folders are accessed via the Smart button on the toolbar. Click the Smart button and Zoot displays a pop-up menu with all of the commands you need.

Tip: Each of the Desktop Databases come with a variety of Smart Folders already designed. You can learn a lot by examining the rules and actions in these folders. You can also modify them if they don't do just what you want. You should also take a look at the sample databases provided. Click the Open button on the toolbar and choose Project from the pop-up menu to access the sample databases.
